Who we are

What this policy covers

This policy explains what personal information we collect when you use secretoptimizer.com or our services, how we use it, who we share it with, and what choices you have. It does not cover third-party sites we link to, or anything you tell our AI chat assistant that doesn’t constitute personal information.

Information we collect

You give us: name, email, phone (optional), business name and address — when you sign up, contact us, or use chat. Billing info — handled by Stripe, our payment processor; we never see or store your full card number. Content and feedback — anything you send us in emails, chat, support tickets, or intake forms.

Collected automatically: IP address, browser type, device type, operating system. Pages visited, time spent, referral source. Cookies (see below).

From third parties: public information about your business from Google Business Profile, your website, and public directories — used for keyword research and competitive analysis once you become a client.

We do NOT collect Social Security numbers, government ID numbers, health information, or sensitive personal information of your end customers.

How we use it

To deliver the services you signed up for; bill you and process refunds; respond to your questions; send you transactional emails (account changes, billing receipts, monthly reports); send you marketing emails about new features (only if you opted in); improve our services (anonymized usage analytics); comply with legal obligations; prevent fraud.

Who we share it with

  • Stripe — payment processing
  • Google Workspace — email infrastructure
  • Google Analytics 4 — anonymized usage data
  • AI — AI chat and content generation (under their data privacy terms; chat is not used to train models)
  • SiteGround — site hosting
  • Google — Search Console / GBP for clients who grant access

We do NOT sell your personal information. We do NOT share it with advertisers. We may disclose information if required by law, subpoena, or court order.

AI usage disclosure

A meaningful portion of our work is performed by AI’s AI AI. The “Secret Optimizer Assistant” chat is AI. Most blog content drafts are AI-assisted (and human-reviewed). Keyword research and competitive analysis use AI to process public data. Routine review responses are AI-drafted (human-approved before posting). AI’s terms prohibit using customer data to train future models.

Cookies

  • Essential cookies — keep you logged in, remember preferences. Cannot be disabled.
  • Analytics cookies — Google Analytics 4. Anonymized.
  • Functional cookies — chat widget state, language preference.

We do NOT use advertising cookies, cross-site tracking pixels, Facebook Pixel, or similar marketing trackers.

Your rights

Depending on where you live, you may have rights to access, correct, delete, export, or restrict use of your information; opt out of marketing emails. California residents have additional rights under CCPA/CPRA. Virginia, Colorado, Connecticut, Utah, Texas, and other state residents have rights under their respective consumer privacy laws.

To exercise any of these rights, email privacy@secretoptimizer.com. We respond within 30 days.

Data retention

  • Account information: retained while active and 7 years after closure (tax/legal recordkeeping)
  • Billing records: 7 years
  • Support conversations: 3 years
  • Anonymized analytics: indefinitely

Security

HTTPS encryption on the site. Encrypted storage of customer data. Limited access on a need-to-know basis. No employee directly handles your payment information. If we ever experience a breach affecting your personal information, we’ll notify you within 72 hours.

Children

Our services are for businesses, not children. We do not knowingly collect information from anyone under 18.

International users

Our services are operated from the United States. We do not currently offer services to EU/UK residents under GDPR scope.

Changes to this policy

Material changes will be announced via email to active customers at least 30 days before taking effect. Minor changes are reflected in the “Last updated” date above.

SMS and mobile messaging

If you provide a mobile phone number — through the sign-up form at secretoptimizer.com/sign-up/, through cal.com when booking a discovery call, by leaving a voicemail at +1 919-367-1746, by sending an inbound SMS to that number, or by entering it on any customer-facing form on this site — we may send you SMS text messages related to your engagement with Secret Optimizer.

What we send

  • Voicemail-received notifications with AI-generated transcripts
  • Appointment confirmations and reminders for cal.com bookings
  • Account and customer-service updates (payment receipts, payment-failure alerts, audit-ready notifications, monthly performance-report alerts)
  • Optional marketing or onboarding messages where you have explicitly consented

Frequency

Message frequency varies based on your account activity. Typical volume is fewer than 20 messages per month per customer.

Costs

Message and data rates may apply, depending on your mobile carrier and plan. We do not charge you for the messages we send; your carrier may.

How to stop SMS

Reply STOP, UNSUBSCRIBE, QUIT, END, or CANCEL to any of our messages at any time. You will receive one final confirmation message and no further messages. Reply START to resubscribe. Reply HELP for help, which returns our support contact details.

Our SMS service provider

SMS delivery is handled by Twilio Inc., our messaging service provider. Phone numbers, message content, and delivery status are processed by Twilio solely to deliver messages on our behalf and are subject to Twilio’s privacy policy. Mobile opt-in data and consent will not be shared with any third party for marketing or promotional purposes. We do not sell mobile phone numbers or message content.

SMS data retention

We retain message logs and transcripts only as long as needed to operate the service and meet legal/tax obligations (typically up to 7 years for business-record retention). You may request deletion of your SMS records at any time by emailing privacy@secretoptimizer.com.
